It is also worth a read if you are applying for a role and want to know what a closing date means for you.<\/div>\n<h2>Quick answer<\/h2>\n<p><strong>Set your deadline with the optional Closing date field on the Listing Details step of Post a Job &mdash; the listing ends automatically after that date and takes no new applicants. If a sign-in box appears where the form should be, you are not signed in &mdash; sign in and open the page again.<\/li>\n<li>Open <strong>Utsav Volunteers<\/strong> from the apps menu at the top of the page and choose <strong>Post a Job<\/strong>, or go straight to <strong>https:\/\/mymahotsav.com\/utsav-volunteers\/post-a-job\/<\/strong>.<\/li>\n<li>Have your role details ready: a title, where the volunteering happens, what you are offering, and a contact email for applications.<\/li>\n<li>Decide your deadline before you start. The closing date is optional &mdash; leave it empty and the listing simply keeps accepting applications.<\/li>\n<li>Write out your screening questions in advance. Three or four short questions work best.<\/li>\n<li>Each listing package is a paid pack, so keep in mind that the final stage after the preview takes you to a checkout before the role goes live.<\/li>\n<\/ul>\n<h2>Step 1 &mdash; Open the Post a Job form<\/h2>\n<p>Open <strong>Post a Job<\/strong> from the Utsav Volunteers menu. The form opens on the <strong>Choose a package<\/strong> step, with a <strong>Listing Details &rarr;<\/strong> button in the top right of the panel. In the picture the <strong>Job package Gold<\/strong> option is selected, ringed in the picture &mdash; each package shows its price and how many featured listings it covers, and how many days they stay live.<\/li>\n<li>Click <strong>Listing Details &rarr;<\/strong> to open the fields where the closing date and the description are entered.<\/li>\n<\/ol>\n<p>The closing date is not on this first step. The application form that people fill in is the same for every listing on the site, so the way to screen applicants is to ask your questions in the <strong>Description<\/strong> and ask people to answer them when they apply.<\/p>\n<ol>\n<li>Click into the <strong>Description<\/strong> box.<\/li>\n<li>Describe the role first &mdash; what the volunteer will do, the dates, and who they will be working with.<\/li>\n<li>Finish with a short, clearly labelled block of questions, for example:<br \/>&ldquo;Please answer these three questions in your application:<br \/>1. Have you stewarded at a public event before?<br \/>2. Which days of the week can you cover?<br \/>3. Do you hold a current first-aid certificate?&rdquo;<\/li>\n<li>Keep the list short and number it. Once it passes, the listing ends automatically and no new applications are taken, so there is no way to apply late. Two things follow from that:<\/p>\n<ul>\n<li>Apply before the date shown on the listing, not on it. A listing can end during the day the deadline falls on.<\/li>\n<li>Answer any numbered questions in the description in your application message. They are the organiser&rsquo;s screening questions, and an application that skips them usually goes to the bottom of the pile.<\/li>\n<\/ul>\n<h2>Where the built-in application questions live (admin reference)<\/h2>\n<div style=\"background:#f4f6f8;border-left:4px solid #9aa4b2;border-radius:8px;padding:14px 18px;margin:22px 0;line-height:1.6;\">&#8505;&#65039; <strong>Note<\/strong><br \/>This one screen is for site administrators only. It is not something you can open as a member, and you do not need it &mdash; the numbered questions in your description do the same job for your own listing. It is included here so you know what the standard application form already asks.<\/div>\n<p>Every listing on Utsav Volunteers shares one application form, managed centrally by the site administrators. It asks for a full name, an email address, a message, an online r&eacute;sum&eacute; and a CV upload, and those fields are the same for every role on the site. There is no per-listing version of it, which is why a member cannot add extra questions to it.<\/p>\n<p>In the administrator&rsquo;s view of that form each row is one field: its label, its type, its help text, and for the CV row a <strong>Multiple Files?<\/strong> tick box. <strong>Add field<\/strong> at the foot of the list adds a new one and <strong>Reset to defaults<\/strong> puts the standard set back. That gap gives you time to read the answers to your questions, reply to everyone, and fill a gap if someone drops out &mdash; rather than closing applications on the morning of the event.<\/div>\n<ul>\n<li><strong>Keep it to three or four questions.<\/strong> A long list puts off exactly the willing, busy people you want.<\/li>\n<li><strong>Put the questions at the end of the description<\/strong>, under a line such as &ldquo;Please answer these in your application&rdquo;. Buried questions get missed.<\/li>\n<li><strong>Ask for facts, not essays.<\/strong> Dates available, previous experience, certificates held &mdash; short answers are quicker to compare.<\/li>\n<li><strong>Leave the closing date empty for a rolling role.<\/strong> If you always want helpers, an open listing keeps taking applications until you close it yourself.<\/li>\n<li><strong>Say what you cover.<\/strong> Using the Salary line to write &ldquo;Unpaid &mdash; travel and meals covered&rdquo; is far better than leaving it blank and letting people guess.<\/li>\n<\/ul>\n<div style=\"background:#fff6f1;border-left:4px solid #e0592b;border-radius:8px;padding:14px 18px;margin:22px 0;line-height:1.6;\">&#128161; <strong>Tip<\/strong><br \/>Use <strong>Save Draft<\/strong> once you have set the closing date and written your questions. You can then come back, reread the questions with fresh eyes, and only preview and submit when you are happy with them.<\/div>\n<h2>Troubleshooting<\/h2>\n<h3>Preview does nothing and the page seems to reload<\/h3>\n<p><strong>Cause:<\/strong> a required field is empty. The form checks itself before it previews, and the two that most often catch people out are <strong>Description<\/strong> and <strong>Job category<\/strong>. <strong>Fix:<\/strong> scroll back up the form and look for a red <strong>This field is required.<\/strong> marker or a red outline, fill that field in, then click <strong>Preview<\/strong> again. <strong>Escalate if:<\/strong> every field is filled, no red marker appears anywhere on the form, and Preview still refuses to move on.<\/p>\n<h3>The form says you have entered too many tags<\/h3>\n<p><strong>Cause:<\/strong> <strong>Job tags<\/strong> accepts a maximum of three, and it counts every comma-separated entry. <strong>Fix:<\/strong> trim the box back to three tags, separated by commas, and preview again. <strong>Escalate if:<\/strong> the message stays on screen when there are three or fewer tags in the box.<\/p>\n<h3>There is no field for screening questions anywhere on the form<\/h3>\n<p><strong>Cause:<\/strong> that is expected. The application form people fill in is shared across the whole site, so it cannot be changed per listing. <strong>Fix:<\/strong> put your questions in the <strong>Description<\/strong> as a short numbered list and ask applicants to answer them in their application. <strong>Escalate if:<\/strong> your organisation needs its own genuinely separate application form &mdash; that is an administrator change, not something you can set up from the listing.<\/p>\n<h3>The listing stopped taking applications sooner than expected<\/h3>\n<p><strong>Cause:<\/strong> the closing date is a deadline for new applicants and the listing ends automatically once it passes, so a date entered a month or a year earlier than intended closes the role straight away. <strong>Fix:<\/strong> check the date you actually entered in <strong>Closing date<\/strong>, and if you want no deadline at all, leave the field empty. <strong>Escalate if:<\/strong> the listing closed while the closing date shown on it was still in the future.<\/p>\n<h2>FAQ<\/h2>\n<p><strong>Q: Is the closing date compulsory?<\/strong><br \/>A: No. <strong>Closing date<\/strong> is marked optional. Leave it empty and the listing keeps accepting applications until you close it yourself.<\/p>\n<p><strong>Q: What actually happens on the closing date?<\/strong><br \/>A: The listing ends automatically after that date and stops taking new applicants, exactly as the note under the field says. Applications you already received are not affected.<\/p>\n<p><strong>Q: Can I add my own questions to the application form itself?<\/strong><br \/>A: Not as a member.
