Utsav Appointments\u2122 may offer features that allow Hosts to record, transcribe, or summarize meetings. This policy explains the rules around recording\u2014and your responsibilities.<\/p>\n

The Simple Truth<\/h3>\n

    Recording requires consent<\/strong>: In many jurisdictions, you must get permission before recording someone.<\/p>\n<\/li>\n

  • \n

    Hosts are responsible<\/strong>: If you record meetings, it’s your job to get proper consent.<\/p>\n<\/li>\n

  • \n

    We provide tools to help<\/strong>: Our platform may include consent prompts, but you’re still responsible.<\/p>\n<\/li>\n

  • \n

    Laws vary by location<\/strong>: Consent rules differ around the world\u2014know the law where you and your participants are.<\/p>\n<\/li>\n

  • \n

    Invitees: assume you might be recorded<\/strong>: If a Host enables recording, you may be recorded. Ask if you’re unsure.<\/p>\n<\/li>\n<\/ul>\n

    Part B: Legal Terms and Conditions<\/h2>\n

    1. Introduction<\/h3>\n

    1.1<\/strong>\u00a0Utsav Appointments\u2122 may provide features that allow Hosts to record, transcribe, summarize, or analyze meetings scheduled through the Services (“Recording Features”).<\/p>\n

    1.2<\/strong>\u00a0This policy outlines the responsibilities of Hosts who use Recording Features and the rights of Invitees who may be recorded.<\/p>\n

    2. Host Responsibilities<\/h3>\n

    2.1 Obtaining Consent<\/h4>\n

    2.1.1<\/strong>\u00a0If you use Recording Features, you are solely responsible for:<\/p>\n

    • \n

      Informing all meeting participants that the meeting will be recorded<\/p>\n<\/li>\n

    • \n

      Obtaining any and all consents required by Applicable Law<\/p>\n<\/li>\n

    • \n

      Documenting such consents (if required by law)<\/p>\n<\/li>\n<\/ul>\n

      2.1.2<\/strong>\u00a0Consent requirements vary significantly by jurisdiction:<\/p>\n

      2.2.1<\/strong>\u00a0Utsav Appointments\u2122 may provide configurable tools to help inform Invitees and obtain consent, such as:<\/p>\n

        Notices on booking pages<\/p>\n<\/li>\n

      • \n

        Consent checkboxes<\/p>\n<\/li>\n

      • \n

        Audio announcements before recording begins<\/p>\n<\/li>\n<\/ul>\n

        2.2.2<\/strong>\u00a0YOU ACKNOWLEDGE THAT THESE TOOLS ARE PROVIDED AS A CONVENIENCE ONLY. WE MAKE NO REPRESENTATION THAT THEY ARE SUFFICIENT TO OBTAIN CONSENT IN ALL JURISDICTIONS.<\/p>\n

        2.2.3<\/strong>\u00a0You are responsible for configuring these tools appropriately for your needs and legal requirements.<\/p>\n

        2.3 Recording Storage and Use<\/h4>\n

        2.3.1<\/strong>\u00a0Recordings may be stored within your Utsav Appointments\u2122 account or integrated TPA (such as Zoom or Google Drive).<\/p>\n

        2.3.2<\/strong>\u00a0You are responsible for:<\/p>\n

        • \n

          Securely storing recordings<\/p>\n<\/li>\n

        • \n

          Limiting access to authorized individuals<\/p>\n<\/li>\n

        • \n

          Complying with data retention requirements<\/p>\n<\/li>\n

        • \n

          Deleting recordings when no longer needed<\/p>\n<\/li>\n<\/ul>\n

          2.3.3<\/strong>\u00a0You must not use recordings for purposes other than those disclosed to participants without obtaining additional consent.<\/p>\n

          2.4 AI-Generated Content<\/h4>\n

          2.4.1<\/strong>\u00a0Recording Features may include AI-generated transcriptions, summaries, or analysis (“AI Output”).<\/p>\n

          2.4.2<\/strong>\u00a0AI Output may contain errors or inaccuracies. You are responsible for reviewing AI Output before relying on or sharing it.<\/p>\n

          2.4.3<\/strong>\u00a0You must inform participants if AI Output will be shared with third parties or used for automated decision-making.<\/p>\n

          3. Invitee Rights and Responsibilities<\/h3>\n

          3.1 Your Rights<\/h4>\n

          3.1.1<\/strong>\u00a0You have the right to know if a meeting will be recorded. Hosts should inform you through booking pages, email communications, or at the start of the meeting.<\/p>\n

          3.1.2<\/strong>\u00a0If you are uncomfortable being recorded, you may:<\/p>\n

            \n
          • \n

            Decline the meeting<\/p>\n<\/li>\n

          • \n

            Ask the Host not to record<\/p>\n<\/li>\n

          • \n

            Leave the meeting if recording begins without your consent<\/p>\n<\/li>\n<\/ul>\n

            3.2 Your Responsibilities<\/h4>\n

            3.2.1<\/strong>\u00a0If you participate in a meeting where recording is enabled, you consent to being recorded in accordance with the Host’s notices.<\/p>\n

            3.2.2<\/strong>\u00a0You should not record meetings yourself without the Host’s express permission.<\/p>\n

            4. Platform Position and Disclaimers<\/h3>\n

            4.1<\/strong>\u00a0Utsav Appointments\u2122 provides Recording Features as a technology tool. We do not:<\/p>\n

            • \n

              Monitor whether Hosts obtain proper consent<\/p>\n<\/li>\n

            • \n

              Verify that Hosts comply with applicable laws<\/p>\n<\/li>\n

            • \n

              Intervene in disputes about recording<\/p>\n<\/li>\n<\/ul>\n

              4.2<\/strong>\u00a0WE EXPRESSLY DISCLAIM ALL LIABILITY ARISING FROM:<\/p>\n

              • \n

                Hosts’ failure to obtain required consents<\/p>\n<\/li>\n

              • \n

                Hosts’ misuse of recordings<\/p>\n<\/li>\n

              • \n

                Any claims related to recording or transcription inaccuracies<\/p>\n<\/li>\n

              • \n

                Any violation of recording laws by Hosts<\/p>\n<\/li>\n<\/ul>\n

                4.3<\/strong>\u00a0Hosts agree to indemnify Utsav Appointments\u2122 for any claims arising from their use of Recording Features.<\/p>\n

                5. Reporting Concerns<\/h3>\n

                5.1<\/strong>\u00a0If you believe a Host has recorded you without proper consent, you should:<\/p>\n

                  \n
                • \n

                  First, address the concern directly with the Host<\/p>\n<\/li>\n

                • \n

                  Second, if unresolved, report to us at\u00a0abuse@utsavappointments.com<\/p>\n<\/li>\n<\/ul>\n

                  5.2<\/strong>\u00a0We may investigate reports and, if warranted, take action against the Host (including account suspension). However, we cannot compel deletion of recordings or provide legal remedies.<\/p>\n","protected":false},"excerpt":{"rendered":"
